108. Details Regarding Access to SSIS Campus

Dear Faculty and Staff,

I hope that you are getting some well-deserved rest this weekend. In today’s message, you will find details about many aspects of accessing campus from Monday, September 27 but please do not hesitate to reach out to us, if you have other questions or considerations.

However, before I elaborate on the campus access details, I want to note that we do not, at this time, have a timeline for students returning to campus. We will inform you immediately when we have more information.

Details of Accessing Campus

Who Can Enter the Campus?

Any SSIS faculty or staff member who is fully vaccinated. Fully vaccinated means that it has been 14 days since you received your second dose of the vaccine. (There are a few SSIS employees who have recovered from COVID-19 and have been given green passes and can also enter campus. Please confirm with the nurse to receive approval to enter campus).

What Do You Need to Enter the Campus?

  1. Your SSIS ID card, you will also need to sign in/out at the security desk.
  2. Declare health (Khai bao y te). Everyone must complete a temperature check and a DAILY health declaration at the turnstiles. You will find a poster at the gate with a QR code to complete the four questions.

What Do You  Need to Show to the Police if you are Stopped at a Checkpoint?

  1. Letter from School – See Sample Letter  If you qualify for entry to campus,  HR will send a personalized letter to you by Monday, that you can keep on your phone. Please email HR if you have any questions about the letter:  Huy at htang@ssis.edu.vn or Ha Noi at  hnguyen@ssis.edu.vn (Note: From last week’s experience, it may occasionally happen that the school letter is not accepted at a checkpoint; in that case, please abide by the checkpoint authorities guidelines.)
  2. Proof of vaccination (green pass or copy of your two vaccination certificates)
  3. Passport / ID

Guidelines While on Campus

While on campus, everyone must strictly follow the Vietnam Ministry of Health 5K guidelines:

  1. Wear a face mask (Khau trang). Mandatory at all times and in all spaces (unless you are alone in your own room). If 2 people need to work in the same room, masks must be worn and the room should be ventilated by opening the window.
  2. Wash hands and disinfect (Khu khuan). Hand sanitizing stations are located around campus for hand cleaning, as well as soap dispensers in bathrooms and classrooms with sinks.
  3. Keeping distance between people (Khoang cach). You must stay 2 meters apart from any other person at all times.
  4. No gathering in large crowds (Khong tu tap). No meetings or gatherings in the same room while on campus.
  5. Do not eat in groups.

Staff working on campus full time may be required to have weekly rapid COVID testing at the Nurse Office.

Where do you enter Campus?

Please enter through Main Gate 2 (motorbike parking is available under shelters).

Can a teacher and a TA work in the same room?

Yes,  if you both wear masks the whole time and if you keep the room ventilated (windows open).

Are there additional restrictions we need to be aware of?  

  1. Children and non-SSIS employees are NOT ALLOWED on campus due to government regulations.
  2. The pool and gym remain closed until further notice because of government regulations.  In addition, the fitness room is currently being remodeled and is also inaccessible for use.  Further, the fields are being rehabilitated, please do not use them.
  3. Bus service is not allowed due to government regulation.

Will air conditioning be functioning?

Air conditioning will be on from 7:30 am to 4:00 pm Monday through Friday. The campus is closed to faculty on Saturday and Sunday to allow for continued maintenance and grounds work.

Where can I get my key?

The key will be available at the Security Booth if you don’t already have one.  If you are a new teacher, a Security or Cleaner team member can escort you to your room.

What do I do in the case of a Fire Alarm?

Please exit the building immediately if you hear a fire alarm – go to the main field, keeping social distance.  Wait for the verbal signal from staff to reenter the building.

Is summer renovation and construction completed?

The campus has been cleaned. Most of the renovation was completed before the lockdown.  However, there are still some summer construction jobs that are not completed. We have cordoned off construction areas, so please do not enter those areas.

If I have specific tech or facility needs, who do I contact?

If you wish to work from campus and have specific tech needs or facilities needs, please contact David Perkin (IT  Director –  ictdirector@ssis.edu.vn), Chris Beanes (Facilities Manager – cbeanes@ssis.edu.vn) in advance. They will do their best to support you. Please submit requests via the Helpdesk or by email at support@ssis.edu.vn

Is there food and beverage available on campus to purchase?

No.  The cafeteria and the HS Kiosk are not open.

We will update these guidelines as circumstances change and the situation evolves. Please do not hesitate to reach out to WaiMun or me with any additional questions that arise now or later in the week.

For those of us who come on campus on Monday, it will be tempting to hug and closely greet each other after such a prolonged time apart.
